This policy explains how EBENAI AGENCY ("Ebenai", "we") handles personal data, in line with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.
1. Who we are
EBENAI AGENCY is a sole proprietorship registered in Hong Kong (Business Registration No. 41699030). You can contact us about your data at contact@ebenai.ai.
2. What we collect
- What you send us by WhatsApp, email or phone: your name, phone number, email address, business name and details, and your messages.
- For clients: the content you give us for your website (text, photos, logo), your quotes and invoices, and payment records.
- Card payments are processed by Stripe. We never see or store your full card number.
This website has no contact form, no user accounts and no advertising or tracking cookies. Our hosting provider (Cloudflare) may set strictly necessary cookies for security. If we add privacy-friendly visitor statistics, they will not use cookies or identify you.
3. Why we use it
- To answer your questions and prepare quotes and website previews.
- To build, launch and maintain your website.
- To send invoices and receipts, take payments and keep accounting records.
- To meet our legal obligations.
We do not use your personal data for direct marketing without your consent, and we never sell it. If you agree to receive news from us, you can stop it at any time by replying "unsubscribe" or writing to contact@ebenai.ai.
4. Who we share it with
Only with service providers who help us run the business, and only what they need: our hosting and domain provider (Cloudflare), payment providers (Stripe, Airwallex), messaging and email providers (WhatsApp, our email host), and professional advisers such as an accountant or lawyer. Some of these providers store data outside Hong Kong. We may also disclose data when the law requires it.
5. How long we keep it
- Enquiries that do not lead to a project: deleted within 12 months of our last exchange.
- Client project files: kept while we work together, then up to 24 months after the end of the project, unless you ask us to delete them earlier.
- Invoices, receipts and accounting records: kept for 7 years, as required by Hong Kong tax law.
6. Security
We use two-step verification on our accounts, encrypted connections (HTTPS) and trusted providers. No online service is completely secure, so please do not send us passwords or card numbers by message.
7. Your rights
You can ask to access or correct the personal data we hold about you by writing to contact@ebenai.ai. We will reply within 40 days, as the law requires. We may charge a reasonable fee for a copy of the data, and we will tell you before doing so.
8. Children
Our services are for businesses. We do not knowingly collect personal data from children.
9. Changes
If we change this policy, we will update the date at the top of this page.
